Privacy Policy

DeHaven Automation Systems ("DAS", "we", "us") builds and operates automation systems — chat assistants, messaging workflows, and data integrations — for other businesses. This policy explains what we collect, why, and what choices you have.
Two different kinds of data
The distinction matters, because your rights differ depending on which one applies to you.
- Our own data. Information you give us directly — through a form on this site, a booking, or an email. We decide how this is used, and this policy governs it.
- Our clients' data. When we run a system for a business, that business's customer records pass through software we operate. We act only on that client's instructions. They decide what is collected and why; we do not use it for our own purposes, and their privacy policy governs it, not ours.
What we collect about you
- Contact details you submit: name, email, phone number, business name, and whatever you write in a message.
- Booking information when you schedule a meeting, handled through Google Calendar's scheduling pages.
- Basic technical information such as IP address, browser type, and pages visited, from ordinary server logs.
We do not handle your card details ourselves. Payments are processed by Stripe, and we never see or store full card numbers.
How we use it
- To reply to you and answer what you asked
- To scope, quote, and deliver work you have asked us about
- To send you information about a project you are engaged in
- To invoice you and keep proper accounting records
- To meet our legal and tax obligations
We do not use your details for advertising, we do not build advertising profiles, and we do not sell your personal information.
Text messages
We do not sell, rent, or share mobile phone numbers, or consent to receive text messages, with any third party for their own marketing purposes. That applies to numbers you give us and to numbers held in systems we operate for our clients.
Where we operate messaging on a client's behalf, messages come from that client under their own name and consent, and their terms apply. See our Messaging Terms for messages sent by DAS itself.
Who we share information with
Only service providers we need in order to operate, and only for that purpose. The main ones:
- Twilio — delivery of text messages
- Botpress — hosting of chat and messaging assistants
- Stripe — payment processing
- Google — email, calendar, and scheduling
We will also disclose information where we are legally required to. We do not share it with anyone else.
How long we keep it
Enquiries that do not become projects: up to two years, then deleted. Client records: for the life of the engagement and as long afterwards as accounting and tax rules require. Data we hold on a client's behalf is kept and deleted according to that client's instructions.
Your choices
- Stop text messages from us: reply STOP to any message, or just tell us — by email, by phone, or in a reply. Any of those will be honoured.
- Stop emails: use the unsubscribe link or reply and ask.
- See, correct, or delete your details: email us and we will, subject to records we are legally required to keep.
If your data sits in a system we run for one of our clients, ask that business directly — they control it, and we will help them action your request.
Children
Our services are sold to businesses. We do not market to children and do not knowingly collect information from anyone under 13.
Changes
If this policy changes we will update the effective date at the top of this page.
